Privacy Policy

When you create an account or subscribe, we collect:

• Email address
• Display name (if provided)
• Profile photo URL (if your Microsoft account has one)
• Subscription details: plan type, status, trial end date, and current billing period end date
• Billing identifiers issued by our payment processor, used to link your account to your subscription. We never see or store your card number.
• Team membership records, if you belong to a team. See Section 5.
• Standard server log data: IP address, browser type, pages visited, timestamps

When you use the Tracey add-in inside Excel, no data is sent to our servers. See Section 2 for details.

Tracey does not collect, transmit, or store any content from your Excel workbooks. This includes formula text, cell values, sheet names, workbook names, or any other spreadsheet data. Formula parsing and value evaluation occur entirely on your local machine inside the Excel task pane.

We do not sell your personal data to third parties. We do not use your data to train machine learning models.

We use the information we collect to:

• Create and manage your account
• Process subscription payments and send receipts
• Gate access to the Tracey add-in based on subscription status
• Administer team plans, seats, and invitations
• Send transactional emails (subscription confirmations, team invitations)
• Respond to support requests
• Detect and prevent fraud or abuse
• Improve the Service (aggregate, anonymised usage statistics only)

We do not send marketing emails unless you have opted in, and you may unsubscribe at any time.

To operate the Service we use a small number of specialist service providers. They process limited personal data on our instructions and only for the purposes described in this policy. They fall into these categories:

• Authentication and database hosting: stores your account record, subscription status, and team membership.
• Payment processing: handles checkout, card details, renewals, and invoices. Your card details are handled entirely by the payment processor and are never stored on our servers.
• Web hosting and content delivery: serves your requests to traceyformulas.com.
• Transactional email delivery: sends account and team invitation emails on our behalf.

Each provider is bound by their own privacy policy and, where applicable, a data processing agreement with us. We do not share your personal data with anyone else except where required by law.

Separately, signing in with Microsoft means Microsoft confirms your identity to us and provides your email address and display name. You choose whether to sign in this way.

Tracey offers team plans, where one person buys a number of seats and invites others to use them. This means we hold some information about people who are not yet users.

When a team administrator sends an invitation, we store the email address they entered, who sent it, an invitation token, and an expiry date. That email address comes from the administrator, not from the person being invited. Invitations expire after 7 days, and never last beyond the end of the team's current paid period.

A team administrator can see the email addresses of everyone on their team and of anyone with a pending invitation, along with how many seats are in use. They can remove a member or revoke a pending invitation at any time, which ends that person's access to the Service through that team.

If an invitation is never accepted it expires, and the seat is released back to the team. We delete unaccepted invitation records within 12 months of expiry.

This website uses session cookies set by our authentication provider to keep you signed in. No advertising or tracking cookies are used.

The Tracey Excel add-in uses browser localStorage to store your authentication session token on your local device. This data never leaves your machine.

We retain your account data for as long as your account is active or as needed to provide the Service. You can ask us to delete your account at any time by emailing hello@traceyformulas.com, and we will delete your personal data within 30 days, except where retention is required by law (for example, financial records for tax purposes, which are retained for up to 7 years).

Expired and unaccepted team invitations are deleted within 12 months of expiry.

Our service providers are located in the United States, so your personal data may be transferred to and processed there. Where we transfer personal data from the United Kingdom or the European Economic Area, we rely on the European Commission's Standard Contractual Clauses, and the UK Addendum where applicable, as the legal basis for that transfer.

Depending on your location, you may have the right to:

• Access: request a copy of the personal data we hold about you.
• Rectification: correct inaccurate data.
• Deletion: request that we delete your account and personal data.
• Portability: receive your data in a machine-readable format.
• Objection: object to certain uses of your data.

If you are in the United Kingdom or the European Economic Area and you are not satisfied with how we have handled your personal data, you also have the right to lodge a complaint with your local data protection supervisory authority.

The Service is not directed at children under 16. If you believe we have inadvertently collected data from a child under 16, please contact us at hello@traceyformulas.com and we will delete it promptly.

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page and, for material changes, notify you by email. Your continued use of the Service after such notification constitutes acceptance of the revised policy.
